This Privacy Policy describes how Meeter ("Meeter," "we," "us," or "our") collects, uses, stores, and shares information when you use the Meeter website, desktop application, AI features, transcription features, subscription services, and related products and services (collectively, the "Services").

Please read this policy carefully. By using the Services, you acknowledge that you have read and understood it.

This policy is incorporated into and subject to our Terms of Service.

1. Information We Collect

1.1 Information You Provide Directly

Account InformationWhen you create an account through Google OAuth or another supported authentication provider, we receive information from that provider, which may include your name, email address, and profile picture. We store your name and email address to create and manage your account.
Audio and Transcription ContentWhen you use the transcription or audio capture features, the Services may process microphone audio and system audio you choose to capture. This audio is transmitted to third-party speech-to-text providers for transcription and is not stored by Meeter beyond what is necessary to return the transcript to you.
Uploaded DocumentsYou may upload documents such as resumes, cover letters, and reference materials to use as context for AI features. We store these documents to provide the service and delete them when you remove them or close your account.
Chat and AI InteractionsWhen you use chat or AI suggestion features, the prompts, context, and conversation history you submit are processed to generate responses. We retain this information only as long as needed to operate the active session and as described in Section 4.
Support CommunicationsIf you contact us for support, we receive the content of your messages and any information you choose to include.

1.2 Information Collected Automatically

Usage and Quota DataWe record usage metrics necessary to enforce plan limits and bill correctly. This includes the duration of speech-to-text processing, AI input and output token counts, and associated cost calculations. This data is associated with your account.
Technical and Log DataOur servers and third-party infrastructure providers may automatically collect log data when you use the Services, such as your IP address, device type, operating system, application version, request timestamps, and error information. We use this data for security, debugging, and service operation.

1.3 Information from Third Parties

Authentication ProvidersWhen you sign in through Google OAuth, we receive basic profile information (name and email address) from Google as described in their privacy policy. We do not receive your Google password.
Payment ProcessorsPayments are handled by Stripe. We receive confirmation of payment status, subscription details, and a customer identifier from Stripe. We do not receive or store your full payment card number, card verification codes, or bank account details.

2. How We Use Your Information

We use the information we collect to:

  • Create and maintain your account;
  • Authenticate your identity and protect your account;
  • Provide, operate, and improve the Services;
  • Process audio and generate transcripts;
  • Generate AI suggestions, summaries, notes, and other AI output;
  • Use uploaded documents as context for AI features;
  • Enforce usage limits and manage your subscription plan;
  • Process payments and manage billing;
  • Send transactional emails such as account confirmations, payment receipts, and service notices;
  • Respond to support requests;
  • Detect, investigate, and prevent fraud, abuse, unauthorized access, and violations of our Terms of Service;
  • Comply with legal obligations and enforce our rights; and
  • Maintain the security and integrity of the Services.

We do not use your audio, transcripts, uploaded documents, or AI interactions to train AI or machine-learning models.

We do not sell your personal information.

3. How We Share Your Information

We do not share your personal information with third parties except as described below.

3.1 Service Providers

We share information with third-party vendors and service providers that help us operate and deliver the Services. These providers act on our behalf and are contractually required to handle information only as directed by us and in accordance with applicable law. They include:

  • Google — for user authentication (Google OAuth) and speech-to-text transcription (Google Cloud Speech-to-Text). Audio transmitted for transcription is processed under Google's applicable data-processing terms.
  • OpenAI — for AI suggestions, document parsing, and embedding generation. Content you submit through AI features is processed by OpenAI under their applicable terms.
  • Stripe — for payment processing and subscription management.
  • Amazon Web Services — for cloud hosting, storage, and infrastructure.

We may add, change, or remove service providers as the Services evolve.

3.2 Legal Requirements and Protection

We may disclose your information if we believe in good faith that disclosure is necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request;
  • Enforce our Terms of Service or other agreements;
  • Detect, prevent, or address fraud, security issues, or technical problems; or
  • Protect the rights, property, or safety of Meeter, our users, or the public.

3.3 Business Transfers

If Meeter is involved in a merger, acquisition, financing, asset sale, or similar transaction, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a materially different privacy policy.

3.4 With Your Consent

We may share your information for other purposes with your explicit consent.

4. Data Retention

We retain your information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, enforce agreements, and maintain security.

Specifically:

  • Account information is retained for the life of your account and deleted within a reasonable period after you request account deletion.
  • Audio is transmitted to our speech-to-text provider for transcription and is not retained by Meeter beyond what is necessary to return the transcript.
  • Transcripts and AI interaction history generated during a session are retained to support your use of the Services and are deleted when you delete them or close your account.
  • Uploaded documents are retained until you remove them or close your account.
  • Usage and billing records may be retained for longer periods as required for financial recordkeeping and legal compliance.
  • Log data is typically retained for a shorter period consistent with security and operational needs.

If you request account deletion, we will delete or anonymize your personal information subject to the exceptions above. Some information may be retained in backups for a limited time before it is fully removed.

5. Your Rights and Choices

Depending on where you reside, you may have rights regarding your personal information, including the right to:

  • Access the personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Delete your personal information, subject to legal retention requirements;
  • Export a copy of your data in a portable format where technically feasible;
  • Restrict or object to certain processing; and
  • Withdraw consent where processing is based on consent.

You may delete your account at any time through the account controls in the application or by contacting us at support@meeterai.net.

You may also opt out of marketing emails by following the unsubscribe instructions in any marketing message. You may continue to receive transactional and service-related communications.

6. Children's Privacy

The Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a child under 18, we will take steps to delete it promptly.

7. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your information against unauthorized access, disclosure, alteration, and destruction.

These measures include encrypted data transmission (TLS), hashed credential storage, access controls, and infrastructure security practices.

No system is completely secure. We cannot guarantee that unauthorized third parties will never defeat our security measures. If you believe your account has been compromised, contact us immediately at support@meeterai.net.

8. Third-Party Services and Links

The Services may integrate with or link to third-party products, platforms, and websites. This policy does not cover the practices of third parties we do not own or control. We encourage you to review the privacy policies of any third-party services you use in connection with Meeter.

Third-party authentication providers (such as Google) and payment processors (such as Stripe) handle information under their own privacy policies. We are not responsible for their data practices.

9. International Data Transfers

Meeter is operated from the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your jurisdiction.

By using the Services, you acknowledge and consent to the transfer of your information to the United States and to the processing of your information in the United States in accordance with this policy.

Where required by applicable law, we implement appropriate safeguards for international transfers of personal data.

10. Washington State Residents

If you are a Washington State resident, you may have additional rights under the Washington My Health MY Data Act or other applicable state laws to the extent those laws apply to our processing of your information. Contact us at support@meeterai.net to learn more or to exercise applicable rights.

11. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices, Services, or applicable law.

When we make material changes, we will update the "Last Updated" date at the top of this policy and may provide additional notice through the application, by email, or on our website.

Your continued use of the Services after the effective date of the updated policy constitutes your acceptance of the changes to the extent permitted by applicable law.

If you do not agree to the updated policy, you must stop using the Services.
